2024.06.04 Google has updated its sharing protocol. As a result, the process for sharing your event images with Display.Church (D.C) has changed. The big picture is that for optimum, consistent results, you will need to store your images in a Google Drive folder and grant us access.
If you just upload your event images from your computer, Display.Church may not be able to pull them in.
And if you are working as a team, this means that all the team members must upload their images to the same Google folder.
Sounds complicated but it isn't really....especially when we break it down into easy steps.

STEP 1: A DEDICATED IMAGES FOLDER
You will need a dedicated folder in Google Drive for all your event images. In other words, all the images for your Google Calendar events that you want Display.Church to pull in during the sync will need to ‘live’ in this folder.
Your dedicated folder should be the main folder. In other words, it should NOT be a folder nested inside other folders which you will not be sharing with Display.Church.

If you already have such a folder, all your event images are uploaded there, and they are added to your calendar(s) from there, you have nothing to do.
If not, you need to:
1a. Create a new folder in Drive as follows…
1b. Upload all your event images to this folder.
1c. Make sure that the sharing for both your folder and each of your images is set as follows:
NOW>>> For optimum results...
Go back to each of your Google Calendar events.
Delete the image links you have put there.
Re-link your images from the shared folder.
If your event repeats, you only have to go back to the first event occurrence and then save for all events.
STEP 2: SHARING WITH YOUR TEAM
2a. Setting up the sharing
(1) In your Drive list of folders, click on the name line of the folder you wish to share.
(2) Click on Share.
(3) Click on Share again
(4) Add the emails of your teammates.
(5) Change the General access to "Anyone with the link --> Editor".
(6) Click the blue Done button to confirm your action. |
2b. Telling your staff / team
You will need to explain this new process to your team. Instruct your teammates to upload their event images to this folder and use this location when they add an image to an event.
STEP 3: SHARING WITH DISPLAY.CHURCH
You have shared your Dedicated Images Folder with your team. Now, you need to share this folder with Display.Church. In other words, include us as part of your team.
3.0. Search for your Dedicated Images Folder.
3.1. On the folder detail line, click on the 3-dot menu of your folder (blue arrow and 1 in image below).
3.2. Choose Share (yellow box and 2 in image above).
3.3. Add Display.Church. Our email address is: displaychurch-images-sync@hopeful-text-323406.iam.gserviceaccount.com
3.4. Make sure that the General access is "Anyone with the link --> Editor".
3.5. Click the blue Send button to confirm your action.
STEP 4: IN DISPLAY.CHURCH
4.a Open your Google Integration for editing
4.b Make sure you have enabled the Events Attachments (optional) scope (blue box in image below.
4.c Check the other details and continue.

Summary of how the sharing will now work
(1) If you do not enable the new Scope and do not grant D.C access to your GCal images via the service email:
if your GCal event was not modified, then even if you do a quick sync or there is a D.C auto sync, your Google Calendar event images will be available to D.C
if your GCal event was modified, then even if you do a quick sync or there is a D.C auto sync, your Google Calendar event images will be available to D.C
whether or not your GCal event was modified, if you do a full re-sync, your Google Calendar event images will be lost (will not be available to D.C)
(2) If you enable the new Scope but do not grant access via the D.C service email, your Google Calendar event images will not be available to D.C.
(3) If you
3a. enable the new Scope
and
3b. move your Google Calendar event images (which are used as event attachments) to a Google Drive folder
and
3c. share this folder with the D.C service email
then your GCal event images will be available to D.C even if you do not update your events. In other words, you do not need to modify your events after you change the location of the attachments.
In the long run…
We realize that this Google update means more work on your part right now. However, moving forward, it is actually a better way to work. Your event images will be in one, easy-to-access place. Thus, all your team members have access to all the images as needed.
